Workshop Terms and Conditions

GENERAL TERMS AND BOOKING:

Thank you for considering a photography workshop with me. By making a booking and submitting payment, you confirm that you have read, understood, and agreed to these terms and conditions. If you have any questions, feel free to reach out at tomraephoto@gmail.com. These terms are designed to ensure a safe, fair, and smooth experience for both of us. My goal is always to provide a memorable, high-quality workshop and treat every participant with fairness, professionalism, and care. All bookings are accepted on a first-come, first-served basis. Your spot is only confirmed once full payment has been received. Payment is accepted via online bank transfer, and details will be provided upon confirmation of your booking.

CANCELLATION:

If you need to cancel your place, please notify me in writing at the email above as soon as possible. Refunds depend on how close to the workshop date the cancellation occurs. If I can refill your spot, you’ll receive a full refund minus a $200 NZD administrative fee. If your spot is not filled, the following cancellation policy applies: 30 or more days before the workshop – 50% refund, minus any non-refundable third-party costs. Less than 30 days – no refund. No refunds are given for no-shows or for participants who leave the workshop early.

CANCELLATION BY TOM RAE PHOTOGRAPHY:

In rare cases, Tom Rae Photography may need to cancel or postpone a workshop due to events outside my control, such as illness, natural disasters, extreme weather, or travel restrictions. If the workshop is postponed, your payment will be credited toward a rescheduled date. If cancelled entirely, you will receive a refund of your payment, minus any non-refundable third-party costs already committed. If the workshop is cut short after starting, I’ll work with you to find a fair solution, but I cannot be held responsible for any additional costs you may incur.

Workshops may also be canceled or rescheduled if the minimum numbers of participants is not met. If this occurs, you will be notified in advance, and offered a full refund or transfer.

INSURANCE:

I do not provide insurance coverage for your travel, equipment, health, or personal property. You are advised to obtain travel insurance (including insurance that covers workshop cancellation or postponement), medical insurance for illness or injury, and equipment and liability insurance for your gear and personal items. You participate at your own risk, and I accept no liability for loss, damage, or injury that arises from lack of insurance.

ITINERARY CHANGES:

Landscape and astrophotography are weather and environment dependent. While I’ll always do my best to plan and adapt around conditions, the itinerary may change to suit weather or other factors affecting comfort, safety, or photographic opportunities. You acknowledge that specific photographic outcomes cannot always be guaranteed. Changes may include altering locations or adjusting the workshop schedule. All decisions will be made with participant benefit and safety in mind.

AGE, HEALTH AND BEHAVIOUR:

Participants must be at least 16 years old, or 14+ with a guardian. A basic level of fitness is required for group workshops. You must be able to walk or hike on uneven ground and carry your own equipment on basic hiking trails. Please notify me of any medical conditions, physical limitations, or concerns at the time of booking. If I reasonably believe a participant’s health or behaviour could negatively impact the workshop group or their own safety, I may withdraw them from the workshop. In such cases, the cancellation policy above will apply. Participants must be physically prepared for outdoor environments, accept delays or discomforts as part of the experience, carry suitable outdoor clothing and gear, and behave respectfully and safely. Inappropriate or dangerous behaviour may result in removal from the workshop without refund.

LIABILITY:

By joining this workshop, you acknowledge and accept the inherent risks of outdoor travel, photography, and fieldwork. You agree to accept these risks, take responsibility for your personal safety and belongings, and release Tom Rae from any liability for injury, illness, property loss, or disruption caused during the workshop. While I’ll take all reasonable care to ensure your safety and manage risks, I cannot be held responsible for outcomes beyond my control.

CONTENT:

I occasionally take photos or video during workshops for use on social media, my website, or promotional materials. If you do not wish to appear in any promotional content, just let me know when booking. All materials provided during the workshop including notes, guides, and presentations, are the intellectual property of Tom Rae Photography and are for personal use only, and may not be reproduced or distributed without permission.

PRIVACY:

Your personal information (such as name and contact details) is collected only for booking and communication purposes. I will never share your information with anyone else.
